Minutes from the January 12th, 2007 meeting
Held at the Dublin Community Rec Center in Classroom A (First floor by main entrance)
Present: Sarah Pearson, Bob Gardner, Steve Brown, Brad Stopenhagen, Kim & Jeff Benefield, Anthony Trippe

We started by discussing the bids Bob received for doing the entrance landscaping.
Bob has three bids and was told he was going to get a bid from the person who is currently under contract but that bid has not arrived yet.
Bob also walked us through the process of gathering the bids and what went into each one of them.
We tabled this discussion for a moment in order to discuss the budget.
Next Steps: Bob will ask for the last bid by 1/19 and then a decision will be made by Bob, Sarah, the officers and the beautification committee.

Kim told us that we are up to 77 houses that have paid dues from last year.
We talked about how much we needed to leave in reserve in order to maintain a balance (we discussed $1,000-$2,000).
If we do reasonable maintenance and upkeep of the entrances this year we may end up spending more than we brought in with dues.
We also discussed some overdue bills we have and need to pay to the company that cut the grass around the entrances in 2006. We agreed to pay them what they were asking since it seemed that after a stop in service the cutting was continued.

There was a discussion about how to increase the dues compliance.
With regards to issue of dues collection we decided that the approach we would take involves writing a letter (Kim will do that) which the street captains will hand deliver (Steve and I will talk to people where the street captains are uncomfortable) and look to follow-up.
Next Steps: Kim will draft a letter explaining the dues situation and the street captains will hand deliver these to neighbors who have not yet paid.
The question of who owns the property the signs are posted on.
Steve Brown agreed to speak with some folks with the City of Dublin to establish the ownership issue. Brad told us that a previous examination seemed to indicate that the land was owned by the people who owned the houses next to the signs. The association would need permission if this were the case to continue doing maintenance and to fix the signs.
Next Steps: Tabled the sign discussion until the next meeting after we get clarification on who owns the land the signs are on.
There was a brief discussion of the irrigation system and the fact that it has been non-operational for the last five years.
Next Steps: Tabled until discussion on landscaping in general is finished which is also depended on the establishment of who owns the land.

This was discussed briefly and no changes made. The street captains will be asked to hand deliver the overdue notice letters. Those who are uncomfortable with this task can look to Steve Brown and Tony Trippe for assistance.
| New Secretary and Newsletter Editor |
Sarah was asked if she was interested in either position. She agreed to think about it and get back to one of the officers if she is interested.
| Winter and Spring Social Events |
We talked a little about social events for the year. Katy Brown made some suggestions through Steve. Tony agreed to contact the Social Committee and ask for suggestions to be reported in the next newsletter. An easter egg hunt was suggested and Tony reminded the group that Mary Jane Pajk and Cathy Leffel currently already hold one of these.
Next Steps: Ask Social Committee to submit items for next newsletter.

Tony agreed to do both of these until a Secretary and Newsletter Editor can be found. We discussed advertising and agreed not to pursue this idea at this time.

There did not seem to be a lot of excitement for pursuing this idea.
A note will be included in the next emailing and newsletter to let everyone know that there have been some issues in the neighborhood recently. Neighbors will also be reminded to keep an eye open in the evening and to keep their garage doors closed.
Next Steps: Tony will speak with the police if incidences continue to occur.
Next meting Friday 4/13 at 7 possibly at the Stoppenhagen's. There also seemed to be a consensus that we would keep the meetings on Fridays at 7 but Tony agreed to poll the neighborhood on this.
Next Steps: Tony will ask for suggestions in the next email he sends to the neighborhood.
